TherapyFit.ca (“TherapyFit,” “we,” “us,” or “our”) operates a mental health practitioner directory at therapyfit.ca. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act (PIPA). By using TherapyFit.ca, you consent to the practices described here.
1. Who We Are
TherapyFit.ca is operated by Graham Thomson, based in Calgary, Alberta, Canada. For privacy inquiries, contact us at privacy@therapyfit.ca.
2. Information We Collect
Practitioner information (directory listings)
TherapyFit.ca lists mental health practitioners operating in Alberta. We collect publicly disclosed professional information from regulated body registries (College of Alberta Psychologists, Alberta College of Social Workers, Alberta Counselling Therapists Association) and professional directories (Psychology Today, practitioner websites). This includes:
- Full name and professional credentials
- Practice name, address, and neighbourhood
- Specialty areas and therapeutic approaches
- Session format (in-person, virtual, or both)
- Fee range and insurance information
- Professional website URL
- Registration or licence number (where publicly listed)
We do not collect or display residential addresses, personal email addresses, or any information not publicly disclosed by the practitioner in a professional context.
Information provided directly by practitioners
Practitioners who claim or create a listing provide: name, email address, credential type, practice location, and optionally a bio, profile photo, booking link, and specialties. This information is used to maintain and display their public profile.
Information provided by clients
When a client submits an inquiry through a practitioner’s profile, we collect: name, email address, preferred session format, and the message content. This information is transmitted to the practitioner and stored in our database.
Usage data
We collect anonymised usage data including page views, profile views, and feature interactions. We do not use third-party advertising trackers. We may use tools such as Vercel Analytics, which process anonymised data only.
3. How We Use Your Information
We use personal information for the following purposes:
- Operating and displaying the TherapyFit.ca practitioner directory
- Facilitating contact between clients and practitioners via the inquiry form
- Sending transactional emails (magic link sign-in, inquiry notifications) via Resend
- Processing subscription payments for Premium listings via Stripe
- Providing practitioners with a dashboard showing profile view and inquiry statistics
- Improving the platform through anonymised usage analysis
We do not sell personal information to third parties. We do not use practitioner or client data for advertising purposes.
4. Unclaimed Practitioner Profiles
Many profiles in the TherapyFit.ca directory are populated from publicly available professional sources and have not been claimed by the practitioner. We believe this serves the public interest by making qualified practitioners discoverable, but we fully respect the right of any practitioner to have their listing modified or removed.
If you are a practitioner and you find your listing on TherapyFit.ca and wish to have it removed or corrected, email privacy@therapyfit.ca with your name and listing URL. We will action all removal or correction requests within 48 hours.
Alternatively, you can claim your listing at therapyfit.ca/join to take full control of how your information is displayed.
5. How We Share Your Information
We do not sell or rent personal information. We share information only as follows:
- Supabase — our database and authentication provider. Data is stored on servers located in the United States. Supabase is bound by its Data Processing Agreement and applicable US and international data protection law.
- Resend — our transactional email provider, based in the United States. Receives recipient email addresses and email content for delivery of magic links and inquiry notifications.
- Stripe — our payment processor, based in the United States. Handles subscription billing for Premium practitioners. TherapyFit does not store payment card information.
- Vercel — our hosting provider, based in the United States. Serves the website and may process IP addresses and request metadata in transit.
By using TherapyFit.ca, you acknowledge that your personal information may be transferred to and processed in the United States, which has different privacy laws than Canada. We enter into data processing agreements with all service providers and choose providers that maintain security standards consistent with Canadian requirements. However, information processed in the United States may be subject to disclosure under US law.
6. Data Retention
We retain practitioner profile data for as long as the listing is active. Claimed profiles are retained until the practitioner requests deletion. Unclaimed profiles are subject to removal on request (see Section 4).
Client inquiry data is retained for 12 months to allow practitioners to reference past inquiries in their dashboard, after which it is deleted.
Authentication tokens (magic link sessions) expire after 24 hours. Active practitioner sessions are maintained via secure cookies and expire on logout or session end.
7. Security
We implement industry-standard safeguards including encrypted connections (HTTPS/TLS), row-level security on our database, and token-based authentication. No system is completely secure; we cannot guarantee against all potential breaches, but we take reasonable steps to protect the personal information we hold.
In the event of a breach that poses a real risk of significant harm to individuals, we will notify affected parties and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
8. Your Rights
Under PIPEDA and Alberta PIPA, you have the right to:
- Know what personal information we hold about you
